Raising funds for first-time founders is hard. We tried to go down the venture route in our first 2 years, but investors passed. So at some point, we said 'f*** it', and bootstrapped. 

We took in some money from angels and Mucker Capital, which have been extremely helpful, but the amount we've raised is still tiny for the type and complexity of product we're building.

Yet somehow, we're still growing like crazy - 10x last year, and it looks like we'll do another 5x this year!

How? 
- Amazing friends, customers, and advisors who support us along the way, and an incredible team which punches 10x above its weight (you don't need VCs for that - only persistence, being open to opportunities, and hard work!)

- Find growth hacks that don't cost gazillions of dollars. There are free platforms like Product Hunt , etc. where you can list your product and get users.

- Cold outreach still works! Message your ICP (and be shameless about it!). 90% will ignore, but the 10% that reads about your product might be the push that you need.

- SEO is a long game, but one that's free if you get it set up the right way. Right now we're getting over ~3k leads every month from programmatic SEO without spending any money.

- Don't hire engineers in the US - find talent in Europe & Asia. They are a fraction of the cost and (at least in our experience) 3x better (+ my friend Steven can help with this!).

- Build a community around your product. Users who are bought into your journey will support you 10x more than any paid promoter.

To all the founders out there thinking you need VCs to grow - Databar.ai is proof that you don't!

"Build an MVP" is overrated advice. I think, you either: 
A. Go all-in and build a functioning product from conversations you've had/data/gut feeling/whatever drives you
B. Create a landing page (a pre-MVP) & run ads to book calls will potential customers

Option A is the high risk option, but if you're right, you're right big. Doesn't mean you have to build something complex, but whatever you put out needs to be functional on an ongoing basis.

If you're building an MVP to then raise money from VCs, I think it makes more sense to go with option B & spend the engineering budget on marketing.

This way, you have a full pipeline ready to pay for a fully functioning product, which might just be better validation than an MVP that retains 10% of users + you'll know if the idea resonates with people, and if it does, you might even know what your customer acquisition cost will be (bonus!).

I might be wrong 🤷‍♂️ who knows

This one thing dropped our activation rate by 90%!

About 6 months ago, we added a pop-up in Databar.ai workspaces requiring users to start a free trial to access the full suite of functionality. The pop-up was actually a dummy, you could still use Databar on a free plan.

Our hypothesis?
By asking for a commitment upfront (trial or credit card), we’d filter for users truly interested in buying our service. These users, being more invested, would be more likely to hit the “Aha!” moment and eventually upgrade.

What actually happened:
The pop-up disrupted the user journey. Here’s how users behaved:

	1.	Upgraded immediately (minority) — Most didn’t even try the product first.
	2.	Followed the intended journey (larger minority) — Set up their first table and hit the “Aha!” moment.
	3.	Dropped off immediately (second-largest group).
	4.	Explored API integrations only (majority) — They bypassed the core product entirely and eventually churned.

In essence, the pop-up turned off users who could have converted after hitting the “Aha!” moment and confused others into straying from the core experience.

The result:
We removed the pop-up. Now, 92% of new sign-ups set up at least one enrichment after signing up. That's a 5-minute fix that drove a MAJOR improvement.

Key takeaways:
If you’re introducing a free trial, make it all or nothing. 

Don’t give users alternative paths that let them bypass the trial and stray into suboptimal journeys. It dilutes the experience and keeps them from seeing the real value of your product.

Never ask a user to commit before they understand the value of your product!

If you’re gating functionality upfront, ensure the user already knows what they’re getting — whether that’s through tutorials, demos, or strong word of mouth. Otherwise, let them experience the product first.

If you're going through a PLG motion then build your product around that motion. Ensure that every step of the journey is clear as day & accurately tracked!

Jaguar's rebrand has the potential to be one of the best PR stunts in recent history. 

Or at least it'll be the greatest experiment of the saying "Any marketing is good marketing".

In my view, Jaguar isn't really a 'mainstream' luxury brand in a way that BMW & Mercedes are. 

They put out a controversial ad > got millions of eyeballs on it. Basically, generated a huge 'top of funnel'. 

Now all they need to do is put out a good car that people want & convert at least some of those eyeballs into customers. 

Even if 90% of people hate the rebrand and their new line-up, I'm sure the other 10% might think "this is actually not a bad car.."

Perhaps something like this wouldn't work for a popular brand like BMW, but with Jaguar, which has slowly faded over the years? Why not!

Databar.ai ended up with #5 of the day Product Hunt yesterday, thank you to everyone who supported us it means a lot!! In case anyone else is planning a launch, here are a few things to look out for (if we had known these things, I think we could've ended up with the #1 spot):

- If your "About this launch" says "Posted" instead of "Featured", consider re-scheduling the launch and message their support about switching it to "Featured". The screenshots below show the difference - Toolbox got featured, we didn't (until we got the Product Hunt team to switch).

- Don't use the word "spreadsheet", "template", or anything along those lines in your description - that'll make their moderators think that you're launching a template or boilerplate (which will make them un-feature you).

- Try to work with a good hunter who will know these things and prepare you accordingly. This change is a relatively recent one though so many still don't know about it.

Regarding everything else I think there are already plenty of materials out there. :) And as Jared Robin ⏭ said, don't expect Product Hunt to be your GTM strategy!

We launched on Product Hunt, got more upvotes than most others (135 upvotes in 3 hours), and yet somehow we can’t even be found on the site. 

How?
Apparently Product Hunt now pre-selects which companies will be Featured and which won’t.

Hope this serves as a cautionary tale to others who want to launch there.

1. Showcase Platform & New Developments

Since the initial website launch, Databar has evolved from a company exploring product-market fit across various industries into a powerhouse for prospecting and outbound operations. We have built:

- More than 100 pre-built web scrapers for efficient data collection
- Our Chrome extension for gathering data from any site (free forever)
- And much more…

Our new website is designed to showcase the full scope of our product.

2. Leveraging Partnerships and Logos

We’ve added a multitude of new partnerships with leading tools and data providers.

Now, we’re displaying our partnership logos and integrations more prominently.

This change is designed to help our customers easily identify the tools available within Databar, understand how Databar integrates with their existing tech stack, and discover how it can enhance their current setup.

3. Intentional Branding and Communication

We've evolved to tell a more compelling story on our website.

We've studied market leaders, identified what resonates, and developed a solution that combines best practices with our value proposition.

Agents seemed like a black box to me when they came out at first, but once I figured out how they work I realized it's just a bunch of "mini GPTs" that get called depending on what needs to be done.

In case anyone's wondered how agents work:
You have a chain of "AIs" that accomplish very specific tasks and you call them based on what you need to do. 

For example, if you want to scrape a specific website, you might have just one agent in a flow that looks something like:

Use a scraper to fetch a website's HTML > Clean up the HTML to get the pure content > Send that content to an Agent that extracts what you're looking for.

If you're doing something more complicated, like asking your "AI scraper" to visit multiple pages, you might add Agents in between those steps to decide what to do next. 

For example, after the Agent extracts data from the web page, you might have one more Agent that checks if the result corresponds to the initial prompt. If not, you ask it to pick a link to visit next. 

Then you repeat the above steps... and so on

It's pretty powerful stuff, but also relatively easy to build. I'm curious how AI companies will differentiate themselves when an agent can be built over a weekend. 

Soon (or maybe this is already being done today?) you'll have agents creating other agents. Creating an "AI startup" could take a couple days.

Our view on this at Databar.ai is that 
A) UI matters. Having an agent is one thing, being able to use it effectively is another.
B) The right integrations make agents 10x more powerful. 
C) Having high quality data to feed into those agents is a differentiator that takes time to build
D) Just creating an agent is not enough - they need to be optimized for scale, speed, and accurate results

We'll see how the industry shapes up, I'm both excited and terrified at the same time.

We deleted 300 connectors from the Databar.ai API Library & it was painful 😬. Here's why we did it:

When we built Databar v1 3yrs ago, we knew that the spreadsheet interface for third party data would be valuable, but we didn't quite figure out the best use case yet. 

So, our hypothesis was this:
We'll add connectors from different niches and see what sticks.

We built an automated system which let us add a new API integration in <20 mins & started connecting everything from crypto & financial data, to sports, and company/email data.

At one point, we even had Pokemon & Anime APIs on our site (talk about being focused 😅). 

Even though it was all over the place, our hypothesis was kind of right - we really did figure out which connectors stuck and which didn't (although looking back, there probably were easier ways to prove that hypothesis).

We saw that people were interested in 3 categories of data: company/b2b data, crypto & financial data, and sports data. Everything else had to go in the 🗑️ 

Crypto & financial data had many potential customers, but check sizes were relatively low + there were many amazing platforms available already, like TradingView, that had an all-in-one solution.

Sports/betting data was interesting too - an emerging market with many potential customers. But, this group wanted to have a ready solution that spits out charts & metrics, rather than a modular spreadsheet/automation tool.

Customers focused on outbound/GTM stood out the most for us. That's where we got our first large subscription $$$s and the most engaged users. 

GTM teams need a lot of data to run their motions, keep CRMs fresh, and power personalization at scale + the modularity of Databar meant our platform could be used with the same user journey across different verticals.

It was a perfect match. The problem was that we had already connected ~600 APIs (this was 2.5 years ago), and didn't want to delete them "in case" we discover an amazing use case.

It was not wise to do so - our true ideal customers were getting confused by random unrelated connectors, and the platform itself was trying to solve all problems without solving any single one perfectly.

Eventually we deleted all of the old connectors we had on Databar, and it made the product 10x better. It's now more focused than ever, and we have the capacity to add & maintain amazing new integrations that our customers love.

We learned, the hard way: remove the fat whenever you can! Turning a new page is important & holding onto work you've done in the past is a bad habit that may be slowing your growth.

It's kind of ridiculous that Docsend requires you to pay $65/mo to export your own data.. you created it, you should be able to export it either for free or at least on the cheapest plan

What tools do people use for onboarding emails? 
We've been using Brevo, but aren't too happy with it, are there better alternatives out there? 🤔

We've had the Owler - A Meltwater Offering integration set up on Databar for almost 6 months now, and even though we haven't posted much about it, it has been one of the most popular ones on our site. Accurate fundraising, acquisitions, and competitor data use to take hours to collect - our users get it in <30 seconds thanks to this integration.

New customers who see an active and thriving community are more likely to buy into your tool. They can also see - in a more active & trustworthy way - who's actually behind the software. 

𝟰. 𝗨𝘀𝗲𝗿𝘀 𝘀𝘁𝗮𝗿𝘁 𝗵𝗲𝗹𝗽𝗶𝗻𝗴 𝗲𝗮𝗰𝗵 𝗼𝘁𝗵𝗲𝗿 👋
We've had more and more cases where users would answer the questions of other users. We didn't incentivize any of that, and it's amazing when this happens. This is a big part of our community we want to expand on so users start sharing use cases, templates, and content with each other.

There are many other benefits to building a community, which I didn't list here.

Why do people like Slack so much? 
I think it's such an inconvenient messenger: I can't reply to a message (unless I create a thread), can't view messages past 90 days unless I'm paying a fortune, voice calls aren't great, and most importantly you can only DM someone out of a specific workspace (who came up with that logic?!). We've been using Discord for all of Databar.ai's communications and we've been loving it. Am I missing something?

Even with a team of engineers, it would take someone many months to build something as fast and efficient as this. Big shout to the Databar.ai team for the hard work!

Product analytics is a difficult, but extremely important part of building any saas. Here's how we started analyzing user personas and partially solved the issue of bad data in onboarding flows.

When setting up product analytics for Databar.ai, we added an onboarding flow which asks a few simple questions:
- how did you find Databar?
- what do you do/what does your work entail?
- what are you looking accomplish with Databar?

Some users when signing up simply pick the first option in drop-downs, leaving us with bad data that we can't accurately use for our decision making. So in the question "how did you find Databar?" we added TechCrunch as the first option in the drop-down menu. 

The catch is, there are no articles about Databar on TechCrunch. Now when we analyze our data, we know which answers to give less/more weight. :)

So what does the top 1% do differently?

1. They target companies with clear buying signals

Successful teams don't prospect based on generic criteria.

Instead, they identify businesses that show actual intent:

- Recent strategic hires
- New technology adoptions
- Recent company news

When you reach out to prospects at the exact moment they need your solution, the game changes.

Response rates climb. Meetings happen. Deals close faster.

2. They personalize with data that matters

Average sales reps gather surface-level information that prospects don't care about.

The 1% research genuine pain points by pulling:

- Growth metrics
- Relevant case studies
- Customer reviews mentioning problems

Then they use these insights to make prospects feel truly understood using the prospect's language.

3. They know which data points predict success

The best prospectors don't measure by vanity metrics.

They analyze their best customers and identify surprising patterns that actually predict success.

Sometimes it's not company size, industry, or tech stack that matters most.

It might be having a specific team structure or growth pattern.

When you know which data points truly predict buying intent, you can build workflows to identify these exact setups at scale.

The difference between mediocre and exceptional prospecting results isn't about catchy subject lines or clever follow-ups.

It's about having the right data on the right prospects at the right time.

What data are you using to drive your prospecting efforts?

The average B2B team wastes 30+ hours monthly building incomplete target lists.

They rely on a single data source and miss 40-60% of their actual market.

Here's the systematic approach we use at Databar to build comprehensive TAM lists:

1. Determine platform presence first

LinkedIn-present businesses (B2B software, professional services): 
• LinkedIn-sourced data 
• Technology detection tools like Builtwith or Wappalyzer
• Investment databases like Crunchbase or Owler

Local/small businesses (restaurants, contractors, local services):
• Google Maps Scraper
• Facebook Page Extractor
• Business directories and & local listings
• Industry-specific directories

2. Start with the broadest possible list

Cast a wide net using broad industry codes, then apply filters to refine. When targeting healthcare technology, begin with all healthcare providers and all technology companies, then find the intersection.

3. Layer multiple filters strategically

Always start with the broader filter to create your initial pool, then apply more specific criteria. The sequence matters - begin with what gives you the widest relevant audience, then narrow down.

Look beyond standard filters for hidden signals: recent hiring patterns, specific content themes on their website, or visual brand elements that indicate ideal-fit prospects.

4. Let AI handle custom criteria

For criteria standard databases don't track (like specific service offerings or pricing plans), use AI agents to scan for:
• Specific service mentions on website pages
• Pricing info for market positioning 
• Content topics that signal particular specialties

Building an effective TAM isn't about finding every single potential customer - it's about efficiently identifying enough high-quality prospects to fuel your growth.

A good-enough TAM that you can start working today will generate more revenue than a perfect one that takes months to build.

What data sources are you using to build your TAM? Are you missing potential customers by relying on a single source?

Yeah, that's exactly how NOT to do cold outreach in 2025.

Here’s the thing:

If it looks like it could've been sent to anyone, it probably was.
And that's exactly why it's getting deleted.

Smart GTM teams are doing it differently:

1. They're using precise segmentation
Not just "Tech companies" but:

- Series A SaaS with product-led growth
- Enterprise with recent tech stack changes
- Startups mentioning specific news

2. They're researching thoroughly
Not just "I saw your company does X…"
But diving into:

- Recent product launches
- Market expansion moves
- Tech stack decisions
- Other growth signals

1. Always Warm Up Your Domains

Proper domain warming is crucial for deliverability. Start slow and gradually increase volume over weeks.

2. The 50-100 Word Sweet Spot

The data is clear - keeping it under 100 words drives significantly better results. Today's attention spans are short.

3. Grade 5-6 Language Only

Ditch the complex vocabulary. Writing at a Grade 5-6 level consistently beats "professional" language and corporate speak.

4. Research-First Hook

Lead with ONE targeted observation about their business. Generic openings get instant deletions. Personalization and relevance are non-negotiable.

5. Problem Statement Follow-up

Timing and precision matter. Your problem statement must show you grasp their specific challenges at this moment.

6. 2-3 Word Subject Lines

Internal-looking, simple subject lines win. Fancy formatting screams "cold email." Pro tip: lowercase-only subject lines see better engagement.

7. One-Sentence Solution

Keep your pitch razor-sharp and evidence-based. Example: "We helped Company X achieve Y in 30 days." Nothing more needed.

8. Preview Text Magic

The hidden gem: 40-90 characters of preview text can improve your open rates. Most overlook this email real estate.

9. The Interest-Only CTA

Skip the calendar link. Interest based CTAs open more conversations than direct meeting requests.

10. P.S. Line Power

Never skip the P.S. - highlight a recent win or drop a relevant insight. Everybody reads the P.S. line.

11. Zero Attachments Rule

Pure text is king. No links, GIFs, or PDFs. Clean emails bypass spam filters. Attachments kill deliverability.

12. Value-Based Follow-ups

Every follow-up needs new value. Share an upgraded offer, lead magnets, or relevant content. Build credibility with each touch.

1. The "Featured" vs. "Posted" status

"Featured" vs. "Posted" - this small status difference cost us precious hours of visibility. Your launch needs to say "Featured," not "Posted." It seems like Product Hunt selects tools to be featured pre-launch. We lost 12+ critical hours of momentum before getting this fixed and listed under the featured spots.

Tip: Consider rescheduling your launch if it says "Posted."

2. Word choice matters more than you think

The most surprising blocker? Certain words seem to trigger automatic filters. "Spreadsheet" and "template" in your description can actually get you unfeatured.

3. Hunter selection is important

Pick someone who knows the latest changes. The rules evolve frequently, and even experienced hunters might miss new requirements.

The results?

- #5 Product of the Day
- 400+ upvotes
- But: I believe we could have been #1 with these learnings applied.

REALITY CHECK:

Product Hunt isn't a GTM strategy - but it can be a nice boost.

Our best conversions didn't come from PH directly - they came from the LinkedIn and Twitter discussions that followed.

Next time? If we launch again, we'll do it differently.
